Check fraud continues to be one of the biggest challenges facing financial institutions. In the first six months after FinCEN issued its alert on mail theft-related check fraud, banks reported more than $688 million in suspicious check fraud activity. Positive Pay is one of the most effective tools for preventing these losses, with 94% of organizations reporting it as effective or very effective.

Despite its effectiveness, adoption remained low because the process was manual and time-consuming.

Business owners had to enter check information into their accounting software, export the data, reformat it for their bank's Positive Pay system, and repeat the process every time they issued a check.

Solution

We designed CheckSync to remove the manual work entirely.

Instead of requiring users to export and upload files, CheckSync automatically synchronized issued check data from accounting platforms directly to the bank, making Positive Pay effortless for business owners.

My work focused on designing the end-to-end experience, including:

  • A simple onboarding flow

  • Account mapping between accounting software and bank accounts

  • A dashboard for viewing synchronized checks

  • Dashboard widgets that surfaced CheckSync activity for banking users

Design Approach

The goal was to make fraud prevention feel invisible.

Rather than asking users to complete repetitive administrative tasks, we designed an experience that automated the workflow while giving both business owners and bankers confidence that checks were being monitored and synchronized correctly.

Every interaction was focused on reducing friction, increasing transparency, and making fraud protection a seamless part of everyday banking.

Outcome

CheckSync transformed a repetitive, manual process into an automated experience that encouraged Positive Pay adoption while helping banks better protect their business customers from check fraud.
